The budget doesn't change when the invoice arrives. It changes when you sign.

PROBIS Contract puts the commitment where it belongs: at the moment of signature, against a named budget line, visible to everyone who is going to be asked about it later.

How it works

01

Package it

Define procurement units from the budget. Choose section-level or line-item detail.

02

Issue it

Send the bid package out, or export to your bidding platform and re-import the bids.

03

Evaluate it

Score against price benchmarks and your weighted criteria. Document the reasoning.

04

Award it

The contract is created and the commitment lands on the budget line immediately.

05

Change it

Change orders run through the approval workflow and update the forecast on approval.

Where procurement leaks

Today

  • Bids are compared in a spreadsheet built for that one bid package, then thrown away.
  • "Is this a good price?" is answered from memory and instinct.
  • Change orders are agreed in meetings and reconciled to the budget weeks later, if at all.
  • The commitment position — what you have actually signed for — is a number someone assembles by hand each month.

With PROBIS

  • Every bid is evaluated in the same scored matrix, and the matrix is reusable.
  • Prices are compared against benchmark data from real completed projects, by trade and region.
  • A change order is a workflow object: raised, priced, reviewed, approved or rejected, with the budget impact visible before anyone signs.
  • The commitment position is live, because it is a by-product of the awards themselves.

Bid at whatever level of detail the package needs

  • Section-based bid packages for GC and design-build packages
  • Line-item detail with MasterFormat integration for direct trade procurement
  • Reusable bid package templates per package type
  • Mix GC and direct procurement in the same project as the strategy changes

Case study · Airport terminal procurement

Letting a 1.94M sq ft terminal, package by package.

Frankfurt Terminal A-Plus is a new airport terminal delivered through a multi-package procurement route, with bid packages let progressively against a MasterFormat cost structure. PROBIS carries the bid evaluation, the award and the change-order trail — so the committed position is current on the day each contract is signed, not at the next month end.

Frequently asked questions

Can we run both a GC award and direct trade packages on the same project?

Yes. Bid packages can be structured by section for general contractor scope and by line item for direct trade packages, in the same project — which matters when procurement strategy changes mid-project.

How does bid benchmarking work?

Incoming bids are compared against benchmark data drawn from completed projects, adjusted for region, asset class and the ENR Construction Cost Index, so an unusually high or low trade price is flagged rather than accepted.

Does PROBIS replace our bidding platform?

It doesn't have to. Bid packages can be exported to external bidding platforms and the resulting bids imported back for evaluation, so the platform your suppliers already use stays in place.

How are change orders approved?

Through a configurable workflow: raised, priced, reviewed and approved or rejected by named roles, with each step recorded. The budget impact is calculated and shown before the approval decision, not after it.

Can we see how much budget is still unawarded?

Yes — per cost code and for the project as a whole. Comparing unawarded budget against schedule progress is one of the earliest reliable indicators of a project heading for trouble.
